Prompt Sets Every Brand Should Be Monitoring

Check your robots file, then check your server logs for the relevant agents and see what status codes they receive. A site that returns a challenge to every non-browser request is invisible to this entire channel, and nobody involved will have thought of it as a marketing decision.

The useful move here is to stop auditing yourself and start auditing them. When a competitor is consistently named and you are not, the answer is sitting in plain sight in the citation list, and it is usually not what the brand expects.

A brand with none of that is building identity from scratch, and identity work is slow because it depends on re-crawling sources you do not control.

You asked it to recommend a supplier in your category. It named four companies, two of which you consider inferior to yours, and one you had never heard of. Your name did not come up, and it did not come up on the follow up question either.

Expect the timeline to be uneven. Crawler access can change what an assistant sees within days, because retrieval happens at answer time. Identity consistency takes longer, since scattered mentions have to be re-crawled before they join up. Third party coverage is slowest of all and is the part you control least directly, which is exactly why it is worth starting on it before you need the result.

Keep a small number of deliberately hostile prompts in the set permanently. Questions asking whether you are expensive, slow or suitable only for large clients reveal what the system believes about your reputation, and the belief is often traceable to one specific source. Nobody enjoys reading those answers, and they generate more actionable work than the flattering prompts do.

The problem is not that the tools are dishonest. It is that the vendor controls both the number and the prompt set that produces it, so the score can improve without anything happening to your business, and a client has no way to audit the difference.

None of these are traffic numbers, which is the uncomfortable part. Much of the value in this channel arrives without a click and shows up weeks later as somebody who already knew what you did before they contacted you.

You Are Blocking the Crawlers The most common cause is also the least interesting. Your robots.txt disallows the user agents that feed AI systems, or a firewall rule is rejecting them, or a bot management product is serving them a challenge page they cannot pass.

Rule Out the Mechanical Explanations Before concluding the gap is editorial, confirm you are readable. Check robots.txt for the relevant crawlers, check your server logs for what those agents actually receive, and load your key pages with scripts disabled to see what survives.

It is also worth checking whether you are being confused with somebody else rather than ignored. Short names, generic names and names that begin with a number collide with other organisations more often than distinctive ones. Where that is happening, the answer will contain facts that are true about a different company, which reads as a hallucination and is usually an identity collision with a specific fixable cause.

Days, Not Months: Access Anything that unblocks retrieval can show up almost immediately, because most assistants fetch pages at answer time rather than relying on a slow index refresh. Removing a disallow rule, fixing a bot management setting that was challenging legitimate agents, or making key content render without JavaScript can change what a system sees within days.

The more useful signal is qualitative and free. Add one question to your enquiry form or your first sales call asking how the person came across you, and read the answers monthly. When people start saying an assistant recommended you, or start repeating a description of your business you did not write, something has changed in a way no dashboard captured.

Two wrong answers circulate about how long this takes. One says a few weeks, which sells engagements and then disappoints. The other says a year or more, which is used to defer starting and to excuse a lack of movement halfway through.
